    Location: Kenya (Representative Office)

    Reports to: Sales Manager

    Job Summary:

    Our client is seeking to hire an experienced Operations Specialist to join their office in Nairobi Kenya. The Operations Specialist will be responsible for managing the daily operations of the office, specifically focusing on handling logistics for incoming orders and coordinating with salespersons to ensure smooth execution of ongoing orders. The role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with cross-functional teams. The Operations Specialist will report directly to the Sales Manager and play a critical role in supporting the operational efficiency of the office.

    Responsibilities:

    • Manage the daily operations of the representative office in Kenya, ensuring efficient coordination and execution of logistics for incoming orders.
    • Collaborate closely with the sales team to understand customer requirements, monitor ongoing orders, and provide necessary support throughout the order fulfillment process.
    • Liaise with external stakeholders, such as suppliers, vendors, and logistics service providers, to ensure timely delivery and shipment of products.
    • Coordinate with the Finance Department to handle invoice processing, payment tracking, and financial documentation related to orders.
    • Conduct regular quality checks on received goods to ensure compliance with specifications and resolve any issues or discrepancies.
    • Implement and maintain standard operating procedures (SOPs) for operational processes to ensure consistency and efficiency.
    • Identify areas for process improvement and propose solutions to optimize operational performance.
    • Monitor key performance indicators (KPIs) related to operations and provide regular reports and updates to the Sales Manager.
    • Maintain strong communication and collaboration with internal teams, including Sales, Finance, and Customer Support, to ensure smooth order processing and customer satisfaction.
    • Stay updated on industry trends, regulations, and best practices related to operations and logistics.

    Requirements:

    • Proven experience in operations management, logistics, or a related field.
    • Strong knowledge of logistics processes, including order management, shipment coordination, and inventory control.
    • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
    • Detail-oriented with a focus on accuracy and quality control.
    • Strong problem-solving and analytical skills, with the ability to identify and resolve operational issues.
    • Effective communication and interpersonal skills, with the ability to collaborate across teams and communicate with stakeholders at various levels.
    • Proficient in using software applications and systems related to operations and logistics.
    • Knowledge of import/export regulations and procedures is advantageous.
    • Bachelor's degree in Business Administration, Supply Chain Management, or a related field is preferred.

    Compensation:

    The Operations Specialist will receive a fixed salary, which will be discussed and determined during the interview process. The compensation package may include additional benefits and performance-based incentives tied to achieving KPIs.
