  • Documentations Coordinator | Airflo Ltd
  • Built, reviewed and redefined the HCDA (horticultural crops development authority) certificate processing function within the department thereby for the first time making the project a revenue generating idea.
  • Equipping and sharpening the supervisors by delegating, joint decision making, effective communication and giving and soliciting feedback. This created ownership and engagement among the supervisors as this trickled down to their direct reports.
  • Reevaluated leave liability report to ensure that the entire team of 51 had aligned their days for the whole year with the HR leave requirements and achieved 100% success in under a month.
  • Improved cross-departmental collaboration with OKAM (Operation Key Account Managers) and operations departments. This sharing of information has been instrumental in building team work and trust and ultimately fostering team spirit.
  • Redefined the scope of my new role as a coordinator by requesting the platform and space to initiate changes and run with matters arising the best way possible before requesting for intervention from management.

  • Trained and prepared a relatively young team of new staff for integration, improved our functions and performance to a level where it mirrored that of our more experienced colleagues at Panalpina.
  • Came up with a working system for the daily tasks and functions of the new team of 12 that improved workflow and the handover process while significantly reducing margin of errors in our documentation process by 90%.
  • Developed SOPs and KPIs for the team and implemented the same for purposes of appraisals. This helped to better structure the biannual performance appraisals to the job description of the team.
  • Successfully ran the e-docs performance report project for electronic filing of export compliance documents and managed to improve numbers from an average of 55% filed daily to 95% -100% filed daily.
  • Streamlined the s number project that helped us to correctly tag and identify individual cargo stored in our warehouse which was key during influx in deliveries when the season was at its peak. This reduced errors by 95% in the whole function and process of good acceptance and identification.

  • Receiving Customer orders and instructions and distributing information via email to the correct agencies to prepare documentation for cargo tankers. 
  • Reviewing documents to ensure all were finalized and issuing accurate information according to the individual discharge port requirements.
  • Planning and confirming with operations the shipment delivery, Plant Health Inspection and QC status and prioritizing the tasks to their team to ensure the efficient completion of the documentation process they are currently supervising is carried out within set time lines.
  • Planning and confirming the accuracy of all the necessary shipment documents at the various stages of documentation; acceptance, registration, preparation and processing as well as shipment manifesting, production of the HAWB, Customs entry registration, Pallet build up and MAWBs.
  • Ensuring that all shipment flight documents (AWB, Manifests. Weight Docket) corresponds with the actual pallet/ULD weights and communicates the same with Operations, the airline and/or their GHA to ensure the completion is carried out within set time lines.
  • Providing excellent customer service by directly communicating via E-mail or phone and taking on lead specialist duties and minor management roles.
  • Corresponding with the customs agent, and other procedures, to clear shipments for forwarding.

  • Spearheaded gathering information about the shipment and paperwork from consignees and agents.
  • Coordinated with trucking companies to obtain additional information about shipments, issues encountered during transit.
