Administrative Assistant.

Responsibilities

Office management

  • Provide high-quality administrative support to the AERC team, assisting in organizing office operations, compiling information, and drafting high-quality documents as per the team’s requests ensuring the smooth running of the office.
  • Schedules and coordinates business meetings and appointments, travel, hotel accommodation and travel arrangements for senior colleagues in the AERC office. 
  • Ensures all local office financial policies (per Diems, petty cash management, the raising of imprest requests) are up to date and available for employees through the use of the ERP system.
  • Perform clerical and secretarial functions. Managing information flow and drafting routine personalized correspondences assisting in record posts and email matters.

Communications, Planning & Events Management

  • Timely Planning on all needs for the CCO Chief Communications Officers, operations requirements mostly logistics, and financial/budget drafting for planned activities.
  • Assist with media outreach activities and media relations in collaboration with the communications team.
  • Coordinate and book air travel for the team as well as workshop participants. This includes: Preparation of travel requests, Hotel reservations, Visa applications, Flight reservations, Requests for daily subsistence allowance, and Airport transfers.

General Supplies/Procurement

  • Preparation of  Note Verbal’s, uploading invoices with ETR receipts and DA1 forms through the IPMIS System, Reducing turnaround time for VAT exemptions (DA1 forms) for processing from Foreign Affairs and at KRA from 60 days to 30 days.
  • Assist in receiving goods from vendors also prepare service level agreements and ensure services are delivered as per the agreement expectations.
  • Assist in sourcing of goods and services, manage contracts and maintain lasting relationships with vendors, service providers, and other external stakeholders. 

HR support

  • Supporting Institutional events and HR and Administration driven initiatives, Preparing Staff Documentation, help coordinate Staff Parties, A.E.R.C major workshops such as the Bi-annual Workshop and Senior Policy Seminar among different tasks accorded.
  • Support in recruitment needs of the organization i.e. Interview scheduling and document preparation for different correspondence as well as taking well-written minutes for board and board meetings.
  • Support in organizing weekly/monthly staff meetings, ensuring personal files and office records are up to date and secure with the utmost confidentiality.

University of Nairobi 2008-2011. Bachelor of Arts Degree Double Major in Communication and Sociology.
