Duties and Responsibilities

 

  • Answer Phone Calls-Answer and address incoming phone calls in a timely and polite manner, clearly determine the purpose of the call, deal with queries and provide correct information, Forward calls to appropriate person, Take and deliver messages accurately and completely.
  •  Reception Area Maintenance- - greet visitors and suppliers and direct them as applicable, keep reception area neat and tidy, ensure office is kept neat and tidy liaise with the Office Assistant to keep storage areas neat and organized.
  • Supervision of Office Assistants – Supervise the Office Assistant by formulating a check list and duty roaster which the Office Assistant signs after attending to the areas indicated in the checklist. 
  • Head Office Utilities – In liaison with the Office Assistant, monitor utilities and prepare request for the utilities in case they have gotten to the reorder level. Ensure proper record keeping/filing is maintained.
  • Office Maintenance and utility payments - Identify areas for repairs and maintenance and follow through on all maintenance requests to ensure completion. Process all utility payments such as electricity bills when they fall due to avoid interruptions.
  • Financial-Monitor and record petty cash payments, balance petty cash, prepare travel vouchers, basic cashiering duties, basic bookkeeping duties.
  • Managing Staff Expense Reimbursement-Field visit allowance, Intercity travel Out of pocket expenses
  • Procurement- Procurement of all office assets and office consumables.
  • Petty cash management and reconciliation-Travel arrangement, this includes per diem, transport, and accommodation.
  • Establishing and monitoring procedures for record keeping of correspondence and file movements.
  • Security – Ensure that the night and day security follow rules and regulations. Movements of visitors in and out of the Support Office are correctly maintained and controlled. Guards should first call the reception before any visitor is allowed to come.
  • Contacts - maintain and update the list of staff and customers contacts, ensuring the list is always up to date.
  • Manage Mail-Sort and distribute incoming mail, Prepare outgoing mail for pick-up or courier. Organize courier deliveries.
