Position: Logistics & Warehouse Coordinator 

Organize safe and efficient storage and distribution of goods, and to ensure that orders are satisfied correctly. Coordinating logistics operation for Nairobi Branch, managing inbound and outbound shipments and transportation of goods from the main Industry based in Tanzania to different branches in Kenya including Nairobi, Kisumu and Mombasa. And from Nairobi warehouse to wholesale and retail markets.

Key Responsibilities

  • Supervise local and import/export orders and arrange stocking of sufficient stock to ensure they meet customers’ needs.
  • Manage inventory through placing orders for Oral Care and Cosmetics products from Tanzania
  • Accommodate vendors with stock queries and product launches
  • Warehouse operations
  • Monitor activities to ensure timely deliveries of products. 
  • Communicate with suppliers, retailers and customers to achieve profitable deals and mutual satisfaction
  • Keep logs and records of warehouse stock and executed orders.

Position: Invoicing Clerk

Perform Daily Goods Receipt Functions and support Sales and Accounts Receivable by generating accurate, complete, and timely Delivery Orders and invoices using ERP billing software

Key Responsibilities

  • Ensuring that client information details are kept up-to-date.
  • Creating and sending invoices, statements, credit memos and other bills to customers.
  • Checking the data input to ensure the accuracy of the final bill.
  • Tracking payments and ensuring that the cash flow into the company is buoyant.
  • Reporting issues or irregularities to the financial head of the company.
  • Fixing billing errors by issuing debit and credit memos.
  • Liaising with the logistics department and ensuring that goods are dispatched on time.
  • Handling customers' account queries.
  • Preparing reports on accounts receivable balances, collections activity and customer payment history
  • Inspect all the invoices to identify any errors before invoice delivery.
  • Recovering outstanding debts 
  • Contacting customers and sending payment reminders as per the aging requirement.
  • Organized and maintained client files with updated statements and billing information.
  • Assisting the Country Accountant to update and maintain the petty cashbook, petty cash analysis and bank deposits.
