Collins Odhiambo is an information Studies specialist with over five years of experience in implementing information system structures at the Kenya National Library services, High school and community setup information resource centers/libraries. And also working as a Data Clerk for PATH- AphiaPlus and Afya Ziwani Projects. 

    

Collins worked for PATH (AphiaPlus and Afya Ziwani Projects)  for over three years from January 2016 to September 2019 as a data clerk based at the facility from 2016 march 2018 of which I supported the facility in compiling and doing monthly reports and data cross checks, updating of dashboards and registers, supporting data entry in DHIS and collection at both the facility and the sub-county level, organizing for data review meetings and mentorship programs. And worked as a program data clerk at the PATH offices in homabay county supporting the M&E officer and the program officers in data entry and compilation and also supporting Kabondo – Kasipul and Kasipul sub counties.

 

Collins Odhiambo worked for Kenya National Library services- Kisumu branch for three years of which I supported the successful implementation of the community reading outreach programs in Kisumu County and also supporting in digitization of the Regional library for the Kisumu center.

Collins also worked for the IEBC- Independent Electoral and Boundaries Commission in the 2013 general election as a Voting clerk for Kisumu town East constituency

September 2021 – Data Assistant Path  - Early Childhood Development Programme

  • Supported in caring out exit interviews for care givers with children between 0 – 3 years in Siaya County in Ugenya and Ugunja Sub Counties.

March 2018 to September 2019 – Data Clerk PATH –Afya  Ziwani –Homabay county

  • Supporting data entry at program level
  • Ensure completeness of all registers i.e good documentation according to the SOPs
  • Compile and submit reports through the laid structures i.e daily weekly,bi-weekly and monthly reports either through summary/reporting tolos or use of ODK (open data kit) and PRISM.

  • Shelving

Shelving involves the process of sorting books/information materials according to their class numbers before putting/shelving them on the shelves.the information materials are strictly shelved as per their class numbers and according to the first three letters of the surname of the author. They are also numerically and alphabetically arranged.

  • Cataloguing(online)

This process is computerized and uses a software called amlib

This is where important details of a book are written down on a surrogate card in order to come up with a catalogue card. the details includes the class numbers ,authors name ,ISBN number, place and date of publication ,name of publisher and the physical description of the book

  • Charging and discharging of books(issues) 

This is also an online process whereby the user produces the membership card and then the staff in charge keys in the membership number and the details of the user appears on the screen then the staff uses a scanner to key in the book. The scanner reflects on the barcode that is sticked on the book for identification of the book through the system. The system will show the tittle, author, date of issue due date etc. The staff will then desensitize the book and issues it out and on return the staff will just have to reflect on the barcode and the details of the user and the book will appear and then clears the patron.

  • Classification

It is the process whereby information materials are grouped to their respective classes according to their similarities.it involves the physical reading of a book, use of table of contents where applicable and the use of schedules. Information materials classified in tem main classes, then into ten divisions an further into ten sections.it helps in easy location of materials in libraries.

  • Taking and keeping of user statistics

This helps the library staff to know the number of users who use the facility on a daily, weekly and monthly basis.

  • Accessioning 

The process whereby unique numbers are given to each information material for easy identification.it also involves the use of the accession register whereby entries are made to the register. The entries includes; accession number, author, tittle ,publisher, date of publication, price, call number and the international standard book number(ISBN)

  • General processing of books

It involves stamping, putting of ownership marks, putting magnetic strips for security purposes, putting of date labels and book pockets, writing of book slips, etc.

 

 

  • Binding /repairing torn books

This is a task that involves putting/returning back the print information material back to its original shape either by use of glue , binding tape or pins

  • Attending to user needs

Attending to user needs involves responding to their needs and questions or either providing user education to them and guiding them in the library and where to locate information materials of their need and interest

  • Managing non- book materials

This is ensuring that all non-print materials are well kept and maintained in their specific areas/custody and are free from dust and any objects that might tamper with them.

2013 March  - Voting Clerk –IEBC Kisumu East Constituency

 

  • Here i was given the task of stamping the ballot papers and issuing them out  to the voters and also guiding them through the different stages involved in the polling station and ensuring the votes were casted in the right ballot boxes.i was also involved in the counting process

It’s the process of issuing out books to the users (registered members of the library) for a period of time (renewable) e.g. two weeks and then they are returned and cleared from the system or the issues register.

The process involves both parties the user and the staff. The user produces his/her membership card and the borrowing cards to the staff and then the staff writes down the membership number in a register then notes down the accession number of the book ,author, tittle class number, time and date of issue, due date, stamps the due date on the date label at the back of the book then the staff takes the book slip and puts it on the borrowers card on the tray, desensitizes the book and then user signs before he/she is allowed to live with the book and on returning the book the library staff checks on the borrowers tray to get the slip of the book then puts it back on the book and clears the user from the register an returns the card to him /her
