    Role Purpose Statement

    As a Project Operations intern, you will play a key role in supporting the efficient and effective coordination of various functions in the Research and Advisory Division from within the Project Operations Team.

    You will work closely with the Project Operations Coordinator to support and improve systems and processes for the Research and Advisory (RA) Division, including project management practices and knowledge management systems.

    This position requires a high level of organization and coordination, attention to detail, and the ability to collaborate effectively across different teams.


    Key Accountabilities and Responsibilities:
    Research and Advisory Division Support

    Support the smooth running of key project management exercises, in particular project kick-off and closure sessions, as well as the introduction of improvements to these to achieve high levels of project delivery quality.

    Help improve compliance with knowledge management practices by monitoring usages of key systems, such as Google Drive and Box, and supporting the roll-out of interventions to embed good practices.

    Monitor and improve compliance rates with monthly timesheet completion on the Resource Management system.

    Support the administration, tracking, monitoring, and review of RA Division subscriptions, such as Qualtrics, Survey CTO, Nvivo, and Grammarly.

    Assist members of the RA Division with project sub-contracting processes, facilitating a high-level of quality and compliance with internal policies.

    Schedule and provide administrative support to the running of key divisional meetings, including updating calendars, sharing reminders, reviewing agendas and content, and supporting necessary meeting follow-ups.


    Project Operations Team Administration:
    Support the monitoring of progress against key Project Operations tasks and activities.

    Maintain clean and well-organized Project Operations documentation and folders, ensuring a high level of compliance with internal knowledge management practices.

    Manage the Team's meeting schedule, including both internal, org, and external meetings.
    Coordinate necessary logistics for Project Operations meetings, events, and other relevant activities.
    Support the submission of team payment and travel requests.

    Support the Project Operations staff on any other required tasks to ensure the smooth running and efficiency of the Team.


    REQUIREMENTS :
    Necessary

    A Diploma in project management, business operations, or other relevant field
    At least 1 year of experience in a relevant role
    Excellent organizational skills, ability to multitask and prioritize effectively
    High-level of attention to detail
    Excellent verbal communication and writing skills in English
    Flexible and self-motivated
    Experience working in a fast-paced environment
    Able to work effectively across multiple, diverse teams
