    About Us:

    Optimise Outsourcing Ltd is looking for an outgoing and dynamic HR Assistant. As an HR Assistant, you will play a crucial role in supporting our HR department's daily activities. The ideal candidate will be detail-oriented, have excellent organizational skills, and be able to handle sensitive information confidentially.

    Key Responsibilities:

  • Onboarding New Staff: Assist in the coordination and implementation of onboarding processes to ensure a smooth integration of new employees into the company.
  • Rota/Shift Timetable Management: Create and maintain accurate rota/shift timetables, ensuring optimal staffing levels across departments.
  • Absence Records: Monitor and record employee absences, including sickness and unauthorised leave, ensuring accurate attendance records.
  • Leave/Holiday Requests: Process employee requests for leave or holiday, coordinating with department managers to ensure continuity of operations.
  • Personnel Files Management: Collate and securely store recruitment and employment documents, including contracts, ID, and personal information, ensuring compliance with data protection laws.
  • Employee Compliance: Handle the verification of employee compliance documentation, including ID, DBS checks, right to work, relevant qualifications, and references. Keep management informed of expiration dates and ensure timely renewals.
  • Minute Taking: Take accurate and detailed minutes during internal staff meetings and distribute them as required.
  • Reporting and Communication: Keep management updated with timely reports on HR metrics, including turnover rates, hiring needs, and compliance issues.

    Required Skills and Qualifications:

  • Bachelors degree in Human Resources, Business Administration, or a related field is preferred.
  • Relevant certifications in Human Resources (e.g., CHRP, CIPD, SHRM) are advantageous.
  • Proven experience as an HR assistant, staff assistant, or relevant human resources/administrative position.
  • Familiarity with HR software and MS Office.
  • Knowledge of labour laws and HR best practices.
  • Strong organizational and time-management abilities.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality and discretion.
