    VACANCY: TENDERS AND CONTRACTS OFFICER

    JOB TITLE: Tenders and Contracts Officer

    DIVISION: Procurement and Contract Management

    DEPARTMENT: Administration

    CONTRACT TYPE: 2 Years

    QUALIFICATION: BSc in Procurement, Supply Chain, Bsc BBIT or related field.

    JOB SUMMARY

    The Tenders and Contracts Officer will be responsible for;

    1. Developing, implementing, and monitoring the tendering and contract processes and policies.

    2. Check and confirm tender adverts posted through newspapers, emails,company websites, and brin g them to the company's attention.

    3. To scrutinize, analyze the tender documentation to make sure the company matches the skills and requirements.

    4. Preparation and submission of Tender documents and Request for Proposals (RFPs) and such other tender documents in compliance with subject Tender requirements and Company requirements.

    5. Attend the Technical Clarification meetings and Site Visits scheduled by the clients and prepare a formal response.

    6. Apply the Tender/Bid Bond / Performance Bond and liaise with the Finance Department for its arrangement as per the requirements of the tender.

    7. Coordination of tender reviews and deadlines and adjusts them to the framework given by the customers.

    8. Keep tender deadlines and deliver them on time and attend tender opening and record the results.

    9. Management of all data related to the tender process.

    10. Maintaining and monitoring all contractual records, including all documentation related to contracts.

    11. Performs any other related duties and responsibilities consistent with the job title/position and such duty as may be assigned from time to time.

    12. Manage company database systems and IT processes.

    QUALIFICATIONS AND EXPERIENCE:

    1. Three (3) years' experience performing duties in tenders and contracts in National Government, County Governments, State Corporation or such busy work environment.

    2. BSc in Procurement, Supply Chain Management, Business Management, Bsc BBIT or related field.

    3. Certification in an IT related field will be an added advantage.

    4. Chartered Institute of Procurement and Supply (CIPS) an added advantage.

    REQUIRED SKILLS


    • Knowledge of public procurement contracting and tendering processes.


    • Knowledge of the principles and procedures involved in financial management.


    • Knowledge of Procurement and E-Tendering Software would be an asset.


    • Ability to think strategically to develop and implement relevant tendering and contract policies with appropriate recommendations.


    • Ability to analyze and interpret laws and regulations.


    • Ability to establish and maintain effective working relationships with colleagues and members of the public.


    • Ability to observe and maintain confidentiality in the performance of duties.


    • Effective negotiation and mediation skills.


    • Effective problem-solving, planning, and organizational skills.


    • Excellent communication skills.


    • Energetic, proactive with ability to meet deadlines in a busy environment.


    • Interpret fundamental IT concepts and apply the principles of Information Technology in modern organizations.


    • Ability to appraise the principles and practices of database systems, information technology, information systems and information security

    REPORTING REQUIREMENTS:


    • Monthly Reports.


    • Annual Reports.


    • Any other report that is determined to be required.
