Human Resource Business Partner /Human Resources / Medisel (Kenya) Limited - Thika, Kenya                                                                                                            07/2013 – Current

Duties and responsibilities 

Human Resource Business Partner roles:

  • Creating and managing document templates, such as employment contracts and resignation letters, to ensure they are accessible to the team and kept up to date.
  • Processing SAP payrolls for Medisel Kenya Limited and Dawa Limited, and interfacing the system with Finance General Ledger
  • Keeping payroll review workforce information up to date and identifying and addressing any problems. Issuing accurate payroll information to meet payroll deadlines.
  • Resolving payroll discrepancies and assisting in payroll audits
  • Managing the implementation and monitoring of HR processes, including recruitment and selection, employment contracts, onboarding and offboarding processes, employment checks, induction, mandatory/other training, probationary period reviews, and maternity/paternity leave.
  • Generating and providing information reports related to HR, such as staff lists and payroll costs. Responding to requests for HR information in a timely and accurate manner.
  • Coordinating and supporting recruitment and selection activities, such as shortlisting candidates, conducting interviews, and compiling final interview summaries.
  • Liaising with the AAR medical insurance provider to register new employees, handle annual renewals, withdraw resigning employees, and provide assistance in resolving insurance claim issues.
  • Establishing and maintaining communication with external organizations, such as FKE (Federation of Kenya Employers), KAM (Kenya Association of Manufacturers), AAR Insurance, Kenindia Assurance, and statutory bodies like NSSF (National Social Security Fund), NHIF (National Hospital Insurance Fund), and HELB (Higher Education Loans Board), to gather necessary business information.
  • Processing of pension benefits in accordance with the Trust Deeds and Retirement Benefits Authority (RBA) rules and regulations

Human Resource Roles:

  • Managing employee performance through the implementation of the current performance management system. Setting performance goals, conducting evaluations, and providing feedback and support to enhance employee performance.
  • Preparing confirmation letters for staff due for confirmation after their probation period and for new appointments. Ensuring staff conduct and discipline are maintained in all departments/units and efficiently resolving staff disciplinary cases.
  • Managing staff welfare issues following established guidelines to ensure employee well-being and satisfaction.
  • Providing support to various business partnering departments, such as Production, QA (Quality Assurance), QC (Quality Control), and Warehouse. Assisting with HR-related matters, queries, and initiatives within these departments.
  • Facilitating effective HR communication and reporting within the organization, ensuring timely dissemination of information and maintaining open lines of communication.
  • Processing all online statutory deductions like NITA, HOUSE LEVY, P.A.Y.E, N.S.S.F., N.H.I.F. and Pension through the monthly payroll and ensuring prompt remittance 
  • Ensuring compliance with legal and statutory requirements by coordinating timely training and audits as required by DOSH (Department of Occupational Safety and Health).
  • Acting as the lead coordinator for the implementation and improvement of the ISO Quality Management System within the organization.
  • Ensuring compliance with Occupational Safety & Health (OSHA) regulations and maintaining a conducive work environment. Establishing and facilitating regular meetings of the Health & Safety Committee.
  • Ensuring health and safety compliance of all employees by enforcing safety standards and procedures.
  • Managing special projects assigned within the Human Resource department, overseeing their planning, execution, and completion.
  • Processing staff benefits such as loans, advances, allowances, terminal benefits and any other approved staff claims
  • Managing all expatriates’ files by making applications of their work permits and special pass
