Duties and Responsibilities:

  • Scheduling meetings, travel arrangements, minute preparation, hotel bookings and diary management for the Chief Executive Officer.
  • Ensuring environmental, industry licensing requirements, business permits, health certification are audited and updated.
  • Managing inventory asset and supplies, issuing Local Purchase Orders, maintaining vendor relationships and reconciling invoices.
  • Assistating the sales department in order fulfilment at the dispatch stores and make sure the client leaves satisfied with the products purchased.
  • Acts on behalf of the operations manager while on leave.
  • Answering internal and external communication channels via phone and mail, passing information to relevant departments and offering tangible feedback.
  • Ensuring fleet tracking software is updated and reflects current base information.
  • Alerting the service providers of abnormalities on the fleet tracking system for and updates, keeping a good working relationship with various vendors and verifying services provided.
  • Booking and scheduling vehicles with defective tracking units for repair and maintenance.
  • Tracking and following up imported shipment and updating relevant department, negotiating terms of engagement with the forwarding companies and overall safety of shipped material.
  • Ensuring cleanliness, arrangement and good ambience of office set-up, receiving clients and handling complaints for customer retention.
  • Maintaining confidential office filing both physical and digital to ensure an accurate, up-to date and compliant documentation.
