Graduated the position in Consultancy both Reservations & Tours sector that utilizes computing, communication and knowledge skills while enabling me to implement further sectors in the tourism business from the ground upward, meet the business targets.

 

 

Experience

I am able to work in both Reservations, Travel and Tours position for I have adapted the fundamental procedure to sustain the work force and customer satisfaction.

Hotel Reservations Consultancy:

  • Regular Reservations
  • Acknowledging the Reservations received by the client
  • Changing or Amending the Reservations received by the client
  • Filling the Reservations for the Directors knowledge
  • Permanent Reservations received by the Tour Operator or Travel Agent
  • Guaranteed Booking received by the Tour Operator or Travel Agent
  • Advanced Deposit received by the Tour Operator or Travel Agent
  • Late Arrival notified by Tour Operator or Travel Agent
  • Ensure all reservations are paid ahead of the clients arrival for check-in
  • Ensure all permanent reservations the Camp Manager is aware of the clients names or group
  • Ensure all rooming list received are arranged accordingly prior to the groups arrival
  • Liaise with the Director for the forth coming rates are ready to respond back to Tour Operators and Travel Agents

Travel Consultancy:

  • Quoting Airline Fares
  • Reserving Airline Tickets
  • Providing Alternation Choice of Airline Fares to the respective Destination
  • Ensuring clients are well briefed on any schedule changes or flight cancellations
  • Flight Reservations
  • Client briefing on Visa and Health Requirements
  • Ensure each booking has been invoiced
  • Ensure all bookings are confirmed and re-confirmed
  • Ensure all bookings have ticket numbers
  • Ensure ticketing rules are followed
  • Ensure all tickets are authorized for by the client. Any ticket sent to accounts without a Local Purchase Order or letter of authority by the clients
  • Ensure going through the queue messages and advise clients on the status of bookings
  • Do quotations to clients ensure they are properly typed and call all clients to ensure they have received their quotations
  • Ensure the quotations are responded to immediately incase of delays then advice the client the intention to do so.
  • Treating clients with passion since they are the business
  • Seek approval from the Board of Directors before issuing any credit
  • Update new and old clients profiles regularly
  • Send any cash paying clients to accounts office for receipting
  • Cancel all cancelled tickets on the computer system, punch them and forward them to accounts with the attached cancellation slip
  • Ensure that we are updated on all current fares from the Airlines
  • Ensure discounts are kept within the regulated framework and seek approval if necessary for clients especially walk in’s who are not within our approved levels of discount in our systems. Always seek approval on any discounts to clients who won’t qualify such
  • Ensure all un-needed bookings are cancelled in the system to avoid No Show Fees.
  • Do sales report and forward to the relevant accountant within 48hours from the time of sale.

Holiday Consultancy:

  • Contact the Ground Handler Operator or Retailer of the international destination for availability of the program and cost
  • Prepare Costing sheet for the complete duration of the international destination
  • Prepare Itinerary for the complete duration of the international destination
  • Email the quote and detailed itinerary for the complete duration of the international destination
  • Book their Air or Train fares to domestic or international destinations on Economy Class, Business Class or First Class provide either by Air or Train using Galileo or Amadeus
  • Book and arrange scheduled excursions tours offered in international destinations using Viator or Emirates Agent
  • Reserve at a top star rating Hotel their accommodations in international destination using Emirates Agent, Expedia, TBO Holidays or Top Travel Trip
  • Arrange Car transfer from Airport or Train Station to Hotel and from Cruise Port to Hotel viceversa while in  international destinations using Expedia or TBO Holidays or Top Travel Trip
  • Book their Inbound travel insurance while in international destinations using AIG Insurance, GA Insurance, Britam Insurance, AAR Insurance, Heritage Insurance and Jubilee Insurance
  • Arrange their Visa and Health Formalities while embarking to international destinations
  • Arrange a meet and greet reception by their Ground handler operator in international destinations

Tours and Safaris Consultancy:

  • Responding to enquiries regarding hotels & safaris within 24hrs
  • Create and sell innovative tour packages to meet market demand
  • Prepare itineraries to the various destinations of interest
  • Doing research and producing periodical newsletters with current offers to be sent out to clients
  • Doing tour bookings - both inbound and outbound
  • Doing regular check on “The Firms” website to ensure its up to date and running smoothly
  • Ensuring KWS park rules & hotel regulations are made clear to tourists
  • Ensuring payment for each tour booking is received in advance or proper authorization is received from a corporate prior to credit sale
  • Creating contact with hotels, car hire, sightseeing attraction and other service providers for best competitive contract rates
  • Ensuring the rates files are orderly & up to date
  • Ensure bookings that do not mature are cancelled in time to avoid cancellation penalties especially for hotels & lodges
  • Arranging to see vehicles (and if possible be accompanied by customer representative) before start of service to ensure quality and minimize customer complains
  • Briefing drivers before they depart for safari
  • Preparing welcome pack for tourists before departure for safari
  • Ensure clients’ special requests especially on accommodation & room specification, driver guide language, meals and others are pre-arranged. (eg. ensuring families are booked rooms closer together & pork is not served to Muslim guests etc.)
  • Being on standby ready to provide solutions in case of mishaps during safari
  • Coordinating with travel consultants to arrange flying & ground packages
  • Opening a Client tour files for upcoming tours especially groups
  • Making follow-ups for tour quotations
  • Ensuring that tours quotations are competitive inclusions, exclusions as well as terms & conditions of a quotation should be highlighted to reduce disputes with clients
  • Making sure vehicles (especially if hired from outside) have “The Firms” stickers
  • Any other duty as may be assigned from time to time.
